Meeting started at 3:00pm

John Elliot sent in his opinions on the agenda by email and this was read to the committee.

Mike Salmon sent in his opinions on the agenda through personal WhatsApp and this was also read to the committee.

Anne’s resignation as a committee member and events co-ordinator has been accepted by the committee and we will take this opportunity to thank her for the great deal of work she has done over the last few years to enable the club to run smoothly in the weekly events.

Anne will provide her last report in the TR Action magazine this edition.

The TR register needs to be informed to update the system.

The Website will also be updated ASAP.

Basic expectations of the Committee members needed to be highlighted. To be able to express your views with other committee members both personally and over media platforms in this volunteer role is a necessity.

Any committee disagreements provide a diverse opinion and then a decision can be settled by a committee vote.

All Committee decisions need to be upheld and carried forward.

To try your best to complete tasks relevant to your roles.

To ensure you keep messages positive on the Wensum WhatsApp.

Respecting Committee members is a must at all times.

Expectations of WhatsApp users

The Committee has made the tough decision to remove non-members from the WhatsApp group. Each members household will remain on the WhatsApp and can obviously communicate with others personally.

The Committee will draft up a guide for the WhatsApp platform to ensure all members use it informatively, respectfully and positively.

Structure of the Committee going forward

The Committee feels it is has all the members best interests at heart. The Committee responded cautiously but factually to recent events to ensure the situation was not inflamed.

The Committee feels that an uneven numbers on the Committee is the way forward, also they feel they are in need of a female point of view and we should encourage a female member to provide feedback to the committee.

All committee members have been approached to clarify their position on the committee going forward, we are awaiting Richards decision.

Correspondence to members from the committee was discussed, including the option to send things out on email. This does allow communication without public negative or conflicting response. It was decided that WhatsApp provides more positives than negatives although emails will be used for more formal communication.

Each club member will be asked what they feel is the best method to inform them of any Wensum details, for instance WhatsApp / email / website / Google calendar. This will help us to decipher whether the new Sheep CRM system can play a part in the future for the Wensum group.

The Wensum group will create a Gmail account and create a Google calendar for 2026.

Sheep CRM and the future Website is being looked at by the Committee and other members to see whether it is a usable system that the Wensum members can access.

Mark is waiting for the TR Register to contact him to identify how the new sheep CRM system links in with the new Website.

Tony will look to confirm a date for himself, Mark, Geoff Timms who has been helping with the introduction of sheep CRM and Mike to discuss the worth.

The Committee wanted to approach Geoff Timms to join the committee as an IT Systems Support and he kindly accepted to help the club move forward.

The Wensum email address and mail chimp which is currently accessed by Tony is now being opened up to Mark as well to prevent individuals having all the responsibilities.

Christmas Party

Tony and Mark met up with the Railway Arms to confirm the arrangements made for two sittings was still acceptable with the numbers provided. At present we have 35 for the first sitting and 25 for the second and this was fine with the pub. Already this is a larger attendance than we've ever had at any Wensum Christmas Meal

All choices for the meals have been made. This will be sent to the pub electronically and the pub will set this up on their till system. Each couple or individual can add drinks to this on the day.

A raffle will be organised to raise money for an events shelter and a reflection of the clubs year will be visible.

Place cards will be handed out to members and then they can place it in front of themselves to ensure the waitresses know what you have ordered.

The Committee discussed some cryptic messages on WhatsApp and was informed of another Christmas event organised at the BIH in the evening with Anne Hill. The Committee obviously has no issues with any members arranging private meals out.

Some members have had their membership lapse and the committee will inform them ASAP to ensure they have the opportunity to renew.

Chris Loynes will be put forward to the TR Register for an honorary membership by the committee and hopefully this will be granted.

We will lose members in the future and the demographics and future costs will determine how many.

Adrian kindly checked out the go-pro camera and donated a memory card so this is now available for members to use.

Anne kindly checked out all the walkie talkies and found 2 to be beyond practical use and 4 will be returned for use by the club.
