17th October, 2026
20th Committee Meeting Minutes - 13th October, 17:15
AGENDA
1. Membership details
On the 1st of January 2026 the Wensum membership stood at 114
Today the membership is at 108 with 3 lapsed members
Those lapsed members will as usual receive an email from Tony to check all is ok and a polite reminder to renew.
The TR Register also has a system in place to remind the members 4 weeks in advance that their membership requires renewal.
We have lost members over the last month due to members selling cars and membership pricing concerns.
The TR Register is currently dealing with a disciplinary procedure for the Wensum Group
2. Committee position
No members have come forward to volunteer for the second events position,
The committee will look to spread the load Phil is dealing with and Graham Andrews will help until the position is filled.
3. Treasurer’s progress with the Bank
Peter has moved forward with Nat West with a change in names, The documentation will need to be signed by Mark and John and sent in to Nat west to finalise the name transfers.
While this transfer is taking place the use of funds have stopped.
The 2026/7 Accounts will be to be completed before the AGM 2027
It was highlighted by Geoff that the allowance to the group for each year can be pulled from the TR Register early, I.e. up to three years of funding can be used to allow groups to fund major events.
Geoff will look into the email costs for the Wensum group, currently we are having to use £70 per year of our allowance to have a TR Register email account.
Access to the Wensum Email will be extended to Peter and Phil as well as Tony and Mark to allow events and Accounts to send out emails from the official Email account
4. Events / regular update feedback
Phil has put together a list of events in the local Area, he will look to narrow it down to at least 6 static events, 6 run outs to venues or activities through the months of April to September.
We will also try to organise 1 or 2 international events and one National weekend trip during the year for the members.
The Google calendar will provide information on all these events and also hold information of the TR Register events to.
Options could be; Clay pigeon shooting for the day, Tenpin Bowling,
Treasure hunt, Laon, Beaulieu motor museum.
Mark will look into various routes to add runs for the members before an event.
The Wensum Google calendar will provide information of the Wensum events through 2027, information of this years events will stay active for members to get an understanding of last years event timings and contact details of events if they wish to go to those events in 2027.
It would be great to spread the load with activities, so if there is anyone who wishes to help organised an event / meal at their local pub and invite people over to join them like Paul and Amanda kindly do, please speak to the committee then use the WhatsApp platform.
As a committee it is great to know the members are invested in the Wensum group as much as they are.
5. Mail chimp
Mail chimp is used by Tony and Mark to provide information by Email to members, genially to all members at once, such as the minutes of the meetings and announcements of events. We need to keep to a maximum recipient number each month or pay a monthly charge, so we have decided to stay within the limits of the free account.
6. Promotional leaflets and Gazebo
Leaflets to promote the TR Register and therefore the Wensum Group will be offered out at the Whitwell meeting for anyone wishing to take them to shows.
We finally were provided with a branded 2m x2m Gazebo from the TR Register, it is excellent quality and free to use by any member at Wensum / TR Register events. This size was the one highlighted by the register to fit into a TR but it will require the seat to be removed.
7. Christmas Meal
The committee asked that the Christmas meal be publicised again to try and achieve the target numbers.
There are currently 25 members attending at 1:00, then 21 members at 4:00 on Friday the 11th of December.
8. Female perspective
No female members have come forward to be part of the committee or help the committee with planning.
An email will be sent out to all members asking for a female perspective of events, please ensure female members and partners of members are able to give feedback to ensure we are giving the group what they would like.
9. Gressenhall Farm run:
This was an invitation from the venue to attend, stating we would get discounted tickets and group parking, so hopefully one for the calendar.
10. BIH meetings
From the survey the committee posted on the WhatsApp page we have had 32 responses and some were multiple votes, there appears to be no consensus to leave the venue. As people have seen on the chat there was a small number who responded, this October meeting saw 10 members attend.
AOB
The committee wanted to make sure members are aware of the benefits the TR Register can provide.
Please take time looking through the members benefits page 56/57 in the most recent Magazine.
