2. IT system.
Since Graham left as group leader the committee has had no information from the register, when questioning this the TR Register was not sure why?
The Register has created a new IT system (portal) which means that each member will need to register on it using their Email address, create a password and then they will be able to access the system. This new system will cover every aspect of the TR Register including things like buying international weekend tickets.
Any new information that the Register is providing to groups will be accessed by Tony but only when he logs in. Tony has sent several questions back to the register to get clarity in different scenarios.
A multi page document was issued to Tony to cover all aspects of how the system works
There is a different process to upload information such as local Events, Meetings or Magazine reports.
We are the first group (Guinea pigs) to work with the system.
Mike, Anne and Tony will sit together to ensure they are happy with the uploading onto the system asap.
Wensum members should have already had an email relating to adding their information, I.e. uploading to the system and should be encouraged to do this.
3. Christmas Party.
We E-mailed the Railway arms to pencil in a lunchtime Christmas party on 11th December and are awaiting a response.
We will be looking into two sittings at 3:00 and 6:00 with a crossover period to socialise and hope they can accommodate us.
The BIH is a possible for a Christmas evening meal, but tables would need 15 min intervals for food and they would not cater for us all.
4. Le Mans trip:- Thanks to Phil for taking on organising a overseas trip .
Feedback from the experience is that the accommodation has
been the main issue. and planning the route.
Phil had given paper copies of the itinerary to each member going.
WhatsApp and Email was the platforms used to advertise the trip and
8 cars at present are going.
5. Transfer of names on the Wensum bank account.
The bank has had relevant information from John and Mark but seams to be going through the process again, John has talked directly to the bank and we are awaiting their reply.
6. WhatsApp communication.
The Committee was in total agreement that we, as a committee ,need to keep communications positive to encourage input from all members ,otherwise we will not receive the feedback we would like. All members need to have their view discussed.
7. Google calendar update.
Tony and Anne have spent several hours looking at the Google calendar.
The Google calendar will have a link, and this will be send out to all members through WhatsApp and Email, so the members can see all relative events for 2025.
We will look into creating a page on the new TR Register IT system which will also have link to the calendar. This will notify the TR Register of all our events and cover their requirements.
A traditional list will be placed on a pdf for people who wish to use that method.
8. Committee member vacancy.
The BIH is now not available for the 10th of Feb Meeting.
Due to this, the Annual Members Meeting will be moved to April the 14th. We therefore will be looking to postpone the appointment of a committee member to replace Adrian, and appoint a vice treasurer to replace John as treasurer in 2026.
9. Any other business.
Graham will be organising an open day at his House , on a Saturday near the end of May.
The local Stag Club has been in contact and we plan to do more outings together.
The Stag club has invited us as a Group to join them on a Warners weekend details to follow on the WhatsApp.
A drive with a theme was suggested for a VE Day event on Thursday 8th of May to the Muckleborough collection, details will be confirmed on WhatsApp. (Iain to organise).
Regalia:-
We will test out the walkie talkies to identify their practicality and give to charity if they are not functional.
A WhatsApp will go out to remind the members of the Go-pro that we have, which can we use by any member for trips.
We have regalia including car and pin badges, which are available to members and will be a source of club funds.
Club funds to be reviewed at the end of year to identify its uses.
We agreed that the monthly meeting places and times should remain the same and be brought up at the AMM for feedback
